Recently a Director of one of our resident management company clients experienced a deliberate data breach attack by someone pretending to be BT, cold calling regarding their Wi-Fi.
Data harvesting and identify fraud is becoming more widespread and sophisticated, with the initial contact worryingly genuine on the face of it! By law any company, regardless of size, is required to abide by Data Protection laws so to help give peace of mind we have enlisted the services of an external specialist to work with each Management Company registered under Alexandre Boyes (Management Ltd) to help ensure you are compliant.
What you need to do – JXG Management Solutions Ltd (JXG) has designed a quick and simple questionnaire for you to complete. This is about the information you hold so unfortunately we cannot do this on your behalf. You can request a questionnaire via your property manager and return this along with your ICO registration certificate (if you have one) to Julianne Green at jxgmanagementsolutions@gmail.com
JXG will then produce hard and soft copies of the policy documentation and processes you are required to have in place to be GDPR compliant – you should then circulate this to residents where necessary. The pack will include:-
- 1 GDPR Privacy Notice
- 1 GDPR Data Protection Policy
- 1 retention policy
- Consent process details
- Data Breach process and logging register
- Data Protection Impact Assessment process
- Individual Rights processes – to include.
o Right to data portability
o Right to erasure
o Right to objection
o Right to rectification
o Right to restriction
o Subject Access requests
JXG will invoice the Management Company via Alexandre Boyes a fee of £110 inclusive of vat and will sign a Data Sharing agreement that states that they will only be using the information you provide for the purposes of this exercise. We will not charge a fee providing we are not involved in the collating and distribution of information. We are not earning commission from JXG. We want to help our Clients stay compliant, stay diligent and keep their held data safe!
