Tunbridge Wells Block Management

Established by Kate Boyes MRICS, FARLA back in 2007, our experienced Tunbridge Wells Block Management team understand how good management, presentation, maintenance and efficiently run services can add value to your asset. We work with developers, Freeholders, Residential Management Companies and Right to Manage Companies to offer Fully Managed and Hybrid Bookkeeping services. We are an independent family firm adhering to the highest professional standards and Code of Conducts with the RICS & The Property Ombudsman. Client money is protected through the RICS Client money protection insurance and as a RICS regulated firm we operate within their strict Client Money Handling code of practice.   

We are proud that the majority of our Tunbridge Wells block management business comes from word of mouth and recommendations from other local Tunbridge Wells letting agents, businesses, and professional firms.  All our property managers hold professional membership status or are working towards professional membership with  The Property Institute (TPI) and RICS. The Tunbridge Wells block management department is supported by our property maintenance team, a compliance co-ordinator and operations manager.

DAY TO DAY BLOCK MANAGEMENT

This includes maintenance work and repair to buildings, gardens, communal areas & handling emergencies (including Out of Hours). The team arrange building and lift insurance, directors & officers insurance, organise utility suppliers and ensure compliance with health and safety, fire and asbestos legislation. It is important that we are familiar with our clients properties so we make regular routine visits to the blocks as part of our service.

FINANCIAL MANAGEMENT

Alexandre Boyes Block Management provides support with the financial side of property management. This includes service charge preparation and collection, ground rent collection, as well as the reconciliation and protection of client funds. We also liaise with accountants.

We advocate full financial transparency providing directors with log ins to our service charge software to access full financial reports on their blocks and leaseholders with log ins to download their service charge demands & statements.

STRATEGIC ADVICE

The team provide strategic advice relating to long-term maintenance and improvement that is essential when it comes to protecting the value of your asset. We will organise major works when required, adhering to Section 20 consultation procedures, and arranging competitive tenders for leaseholder's consideration. Current projects include external redecorations, new roofs, lift modernisations, balcony upgrades, replacement window programme, historic building window refurbishment and assisting with NHBC claims.

COMMUNICATION

Ensuring that our clients are communicated with regularly is an essential part of our job as property managers. We advocate regular dialogue with our clients and always involve them in the decision making process. We use Resident which has been designed by Kate Boyes to assist the team in block management. It provides fantastic communication tools including email alerts and leaseholder log ins, modernising the way we communicate with clients. It also includes repair reporting features, and paperless service charge accounting.

FOR DEVELOPERS

We understand that the choice of managing agent can instil confidence in buyers and reflect the reputation and brand of the developer. Our services to developers are not limited to but include; providing advice on lease content and structure, specifications, preparing a realistic service charge budget to issue to potential purchasers, liaising with solicitors on service charge and maintenance enquiries and providing a company secretary role. Existing developer clients include Rydon Homes and Vision Homes. We manage Build 2 Rent developments and staff hold recognised qualifications in this specialised field.

BLOCK MANAGEMENT SOFTWARE

Kate designed Resident software to make managing property simpler, more transparent, and more cost-effective for both her team at Alexandre Boyes and for other managing agents - the software is now used by over 270 managing agents across the UK and Ireland. Our Tunbridge Wells Estate & Block Management department was established in 2007 by Kate Boyes. For nearly 20 years the team has proudly managed a varied portfolio of properties in Tunbridge Wells, Kent, West & East Sussex, from West London down to Hastings. The longevity of our team and decades of industry experience is a real asset, helping Management Companies and Freeholders manage their responsibilities, obligations, and assets. The property managers are all either members of RICS or TPI or working towards membership. Kevin joined the team in 2015, Kim in 2016, Ashleigh in 2018, and Kirsty most recently in 2021. You will have out of hours emergency assistance (if fully managed) and the support of a bookkeeper. Sharon Caulfield-Browne joined the bookkeeping team in 2009, Claire in 2016 and Sharon Atkins in 2019. The whole team is supported by our Operations Manager Rachel North who joined the company in 2014.

The award winning Tunbridge Wells Block Management team won gold for Property Management Company of the Year at The Negotiator Awards and won Silver for the Best Block Management Office at The Sunday Times / Times Property Awards. In 2017 Alexandre Boyes were appointed managing agent on Tunbridge Wells Build 2 Rent town development, and in 2020 the first Living Green Wall development.

Block Management Tunbridge Wells

Alexandre Boyes Hybrid

The ‘hybrid’ service is for Leaseholders & Resident Management Companies who prefer to be more hands on and self-manage. It lets you take care of block maintenance whilst we take care of bookkeeping and other necessary tasks using the same cloud-based Resident property management platform as our Fully Managed service.

How does hybrid work? 

We provide you with a quote for the services you require us to do, so you only pay for the services you actually need, leaving you to do the rest yourselves. We both log in to the same dashboard for complete transparency on all tasks and you benefit from all the features of Resident, our fantastic block management software, but with some help administering the day to day workload. We can even load all your data for you if you would like us to.

What services can you choose from?

Bookkeeping services include:

Opening and maintaining bank account(s) – service charge and reserve if required – service charge demands (directors to confirm budget), leaseholder payments and chasing non-payments, supplier payments, bank reconciliations and forwarding files to your accountants for end of year accounts.

Company secretary tasks include:

– Confirmation Statement
– Maintaining share register
– Issuing share or membership certificates when applicable
– Calling AGM (hosting not included)

Other tasks could include:

  • Working with a building surveying firm in London who is well placed to specify and supervise any major works required, and we can administer the Section 20 notices for an agreed administration fee.
  • Our experienced block management team, working with solicitors who can act on your behalf, can formally pursue service charge arrears when required.
  • We will agree a structure with you (in accordance with the lease) as to when the directors would like arrears to be referred – i.e. 28 days after due date.
  • We can also assist with other parts of your block management requirements, and successfully do so for a number of clients, some with 200 plus flats.

Maintenance Ticketing

In order to streamline repair reporting from leaseholders we have introduced a new ticketing system. We ask all leaseholders to report repairs using support@alexandre-boyes.co.uk or by clicking the link below.

  • Leaseholder emails are automatically converted to tickets
  • Assigned to the right property manager and block
  • Tickets are converted to works orders
  • Leaseholders can track progress
  • Updates are automatically emailed to directors clients and leaseholders

About AB Maintenance

Alexandre Boyes recognises the importance of being able to offer a quick and reliable maintenance service to our clients so we have introduced an in-house property maintenance team in their own branded van. The team respond to repairs and maintenance requests from our clients through our block management and lettings teams and assist with general repairs, decorating, carpentry, plumbing, kitchen and bathroom fitting, and roof repairs.

The team also undertake Fire Door Inspection remedial projects, whose work has been compliance checked by risk assessors.
